These Terms of Use govern access to and use of the services, software, automation tools, AI systems, and digital infrastructure provided by Virtual Office CRM, LLC.
By accessing or using our platform, websites, or services you agree to be bound by these Terms. If you do not agree, you must discontinue use of the services immediately.
Summary of Services
Virtual Office CRM provides CRM software, marketing automation, AI assistants, voice AI receptionists, messaging automation, and related digital services.
- Account setup typically occurs within five (5) business days.
- Clients remain responsible for advertising costs.
- Clients remain responsible for telecommunications charges.
- Setup or onboarding work becomes non-refundable once work begins.
- Subscriptions renew monthly unless cancelled.
Subscription Fees
Clients are charged a monthly subscription beginning at $197 per month for access to the platform, AI assistant configuration, and automation infrastructure.
Subscription fees cover platform access but do not include usage-based costs generated by messaging, voice calls, or AI processing.
Usage-Based Charges
Certain services rely on third-party infrastructure providers. Usage may generate additional charges billed separately from the monthly subscription.
Typical estimated usage rates include:
- AI Voice Processing: approximately $0.10 – $0.30 per minute
- AI Chat Conversations: approximately $0.002 – $0.02 per interaction
- SMS Messaging: approximately $0.007 – $0.02 per message segment
- Phone Numbers: approximately $1 – $2 per number per month
- Email Delivery: approximately $0.0005 – $0.002 per email
Actual charges depend on provider pricing and service usage. Rates may change without notice based on third-party costs.
Payment Method Requirement
Clients must maintain a valid credit card on file within their account or sub-account to cover usage-based charges generated by AI services, voice calls, SMS messaging, or email delivery.
Usage charges are billed automatically to the stored payment method. Failure to maintain a valid payment method may result in temporary suspension of services.
Refund Policy
Due to the nature of digital services and software configuration, payments are generally non-refundable once services have begun.
Subscriptions may be cancelled at any time; however cancellations apply only to future billing cycles and do not result in refunds for prior billing periods.
Communication Compliance
Clients are responsible for complying with all applicable telecommunications laws including the Telephone Consumer Protection Act (TCPA).
Proper consent must be obtained before sending automated calls, text messages, or marketing communications through the platform.
Intellectual Property
All software systems, automation workflows, AI prompts, and configurations created by Virtual Office CRM remain the intellectual property of Virtual Office CRM, LLC.
Clients receive a license to use the configured systems but may not redistribute, resell, or duplicate proprietary systems without written permission.
Limitation of Liability
Services are provided on an “AS IS” basis without guarantees of specific results, revenue, or performance outcomes.
To the maximum extent permitted by law, Virtual Office CRM, LLC shall not be liable for indirect, incidental, or consequential damages.
Total liability shall not exceed the amount paid by the client during the six months preceding the claim.
General Terms
These Terms are governed by the laws of the State of New York.
Virtual Office CRM, LLC reserves the right to update these Terms at any time. Continued use of services constitutes acceptance of updated Terms.
